Schedule included maintenance visits
How membership visits become jobs, when they're created, and how to get them on the schedule.
Every membership plan includes a number of maintenance visits per year. Homeforce plans those visits when a customer enrolls and turns each one into a real job as it comes due, so your dispatchers can book it.
How visits are planned
When a customer enrolls, Homeforce spreads the plan's visits evenly across the 12-month term. For example:
- 1 visit a year comes due about 6 months after the start.
- 2 visits a year come due about 3 and 9 months after the start.
- 4 visits a year come due roughly every 3 months.
Each visit is labeled with the plan name and its place in the term, like "Comfort Club — Maintenance visit 1 of 2". The Renewing in 45 days card on the Memberships page also shows how many visits are still upcoming across all members.
When visits become jobs
Homeforce checks hourly and creates a job for any visit due in the next 21 days. Each job:
- Is unscheduled, so it lands in your unscheduled list on the dispatch board.
- Is tagged Membership and says which plan it's included with and its due date.
- Is linked to the customer's property on the agreement.
To pull visits in sooner, click Create due maintenance jobs on the Memberships page. It creates jobs for every visit due in the next 30 days. Owners, admins, office staff and project managers who manage dispatch can use this button.
Book the visit
- Go to Dispatch.
- Find the maintenance job in the unscheduled list. Look for the Membership tag.
- Drag it onto a tech and time, or open it to set the time. See Use the dispatch board.
Booking confirmations and reminders go out the same way they do for any other visit.
Billing the visit
The visit is included in the plan, so there's usually nothing to charge. If the tech finds extra work, create an estimate or invoice as usual. Pricebook items are priced at member rates automatically. See Give members special pricing.
When visits stop
If an agreement is canceled, any visits that haven't become jobs yet are canceled too. Jobs that were already created stay on the board, so cancel or reschedule those yourself.
