Renew or cancel a membership
How agreements renew at the end of their term, how customers turn off auto-renew, and how to cancel.
Every membership runs for a 12-month term. At the end of the term, it either renews into a new term or expires. You can cancel an agreement at any time.
How renewal works
Homeforce checks for agreements that have reached their end date about once an hour.
- Auto-renew on and the agreement is Active: a new 12-month agreement starts on the old end date. It uses the plan's current price, plans a fresh set of maintenance visits, and bills the first period right away. The old agreement is marked Expired.
- Auto-renew off, or the agreement is Past due: the agreement is marked Expired. Billing stops, and member pricing turns off unless the customer has another membership.
New agreements start with auto-renew on. In the Agreements list, a ↻ after the term means the agreement renews automatically.
Who's up for renewal
The Renewing in 45 days number at the top of Memberships counts agreements ending in the next 45 days. The Agreements list is sorted by end date, so the next renewals are at the top. Reach out to anyone without the ↻ before their term ends.
Turn auto-renew on or off
Customers control auto-renew from their customer portal. Each membership there has a Turn off auto-renew (or Turn on auto-renew) button.
If a customer calls and asks you to change it:
- Open the customer's record.
- Click Customer portal. Their portal opens in a new tab.
- Click Turn off auto-renew or Turn on auto-renew on their membership.
Cancel a membership
Owners, admins, salespeople, project managers and accounting users can cancel.
- Go to Memberships.
- In Agreements, find the customer and click Cancel on their row.
- Confirm.
When you cancel:
- The agreement is marked Canceled right away and won't bill again.
- Maintenance visits that haven't become jobs yet are canceled. Jobs already created stay on the schedule; cancel those yourself if needed.
- Member pricing turns off unless the customer has another active membership.
- Auto-renew is turned off.
