How membership billing works
When Homeforce charges members, what happens when a card fails, and how to handle past-due agreements.
Homeforce bills memberships for you. Each agreement has a Next bill date, and when that date arrives the period is billed automatically. You don't need to run anything by hand.
How a bill is collected
Homeforce checks for bills that are due about once an hour. For each one, it creates an invoice for the period, then:
- Card on file: charges the customer's saved card. If it goes through, the invoice is paid and the agreement stays Active.
- No card, or the card is declined: sends the invoice to the customer by text and email with a pay link, and marks the agreement Past due.
Then the next bill date moves forward one period (a month, a quarter or a year). The last bill is the one that starts before the term ends.
If an agreement missed several periods, Homeforce bills one period per run so a customer's card is never hit with months of charges at once. Retries never double-charge the same period.
Run billing now
Anyone who can edit invoices and open the Memberships page (owners, admins, salespeople, project managers and accounting) can click Run billing now on the Memberships page. It bills every agreement whose next bill date has arrived, the same as the automatic run. Use it if you've just fixed a batch of cards and don't want to wait.
Past-due agreements
The Past due number at the top of Memberships counts agreements whose last bill didn't go through. The customer's record shows Member · past due, and their portal says "payment past due".
To get paid:
- Open the past-due invoice from Invoices (filter to Unpaid or Past due) or from the customer's record.
- Collect the payment, or ask the customer to pay from the pay link or their customer portal. See Collect a payment.
- While you're collecting, check Save for future payments (with customer consent) so future periods charge automatically.
