Schedule, reschedule and reassign visits

Drag visits onto a tech and time, move them between techs, send them back to the queue, or let AI Suggest pick the best tech.

Most scheduling happens by dragging on the dispatch board. Every change saves right away, and a message at the bottom of the screen tells you what happened.

Schedule a waiting visit

  1. Go to Dispatch and pick the day.
  2. Find the visit in the Unscheduled list.
  3. Drag it onto a tech's row and drop it where you want it to start.

The start time snaps to the nearest 15 minutes, based on where the left edge of the card lands. The visit keeps its length (the job type's default length if it never had one). You'll see a message like "Job #1042 → Maria at 10:00 AM".

When you schedule a visit for a future time, the customer gets a booking confirmation by text and email. See On my way and other customer texts.

Reschedule or reassign

  • Move it in time: drag the block left or right on the same row.
  • Give it to someone else: drag the block onto another tech's row. Only the tech you dragged it from is swapped out. Any helpers on the visit stay on it.
  • Move it to another day: drag the block onto the Unscheduled list, use the arrows to go to the new day, then drag it from Unscheduled onto a tech's row. The Unscheduled list shows the same waiting visits whichever day you're looking at.

You can drag visits that are Scheduled or En Route. Visits that are On Site or Completed can't be moved.

Send a visit back to the queue

Drag a Scheduled block onto the Unscheduled list. The time and assigned techs are cleared, and it waits there until you schedule it again.

Double-booking

The board lets you overlap visits on purpose. If the new time overlaps something the tech already has, the visit is still scheduled and you get an amber warning that says how many other visits it overlaps.

Let AI Suggest pick a tech

  1. Click a visit to open it.
  2. Click AI Suggest.
  3. Review up to three techs. Each shows their first open time that day, drive time, and why they fit (skills, open time, distance).
  4. Click the Assign button on the one you want (for example, Assign Maria at 10:00 AM).

The suggestion uses the job type's required skills and length, each tech's live location, how busy they are, and their recent average ticket and close rate. Assigning a suggestion replaces whoever was on the visit with that one tech.
