Visit statuses

What Unscheduled, Scheduled, En Route, On Site and Completed mean, who moves a visit along, and how it changes the job's status.

Every visit has a status. The status drives the color on the dispatch board, the texts your customer gets, your techs' time tracking, and the status of the job itself.

The statuses

Status What it means
Unscheduled The visit exists but has no time. It waits in the Unscheduled list on the dispatch board.
Scheduled It has a date, time and (usually) a tech.
En Route The tech is driving there.
On Site The tech has arrived and is working.
Completed The work for this visit is done. Completed visits are faded on the board and map.
Canceled The visit won't happen. It drops off the board.

Moving a visit along

Techs usually do this from the field app, with one big button at the bottom of the visit:

  1. On my way sets the visit to En Route, texts the customer an ETA, and starts the tech's drive-time clock.
  2. I've arrived sets it to On Site and switches the clock to on-site time.
  3. Complete visit sets it to Completed and stops the clock.

The office can do the same from the dispatch board: click the visit and use Mark en route, Mark on site or Mark completed. The button only shows when someone is assigned to the visit.

What can't change

  • Visits that are On Site or Completed can't be dragged or rescheduled.
  • Only Scheduled visits can be dragged back to Unscheduled.
  • Dragging an En Route visit to a new time puts it back to Scheduled.

How visits set the job's status

You don't need to update the job by hand as visits move. Homeforce looks at all the job's visits (ignoring canceled ones):

  • Any visit En Route or On Site → the job is In Progress.
  • Every visit Completed → the job is Completed.
  • Some completed, some not → In Progress.
  • Otherwise, any visit Scheduled → Scheduled.
  • No visits with a time → Unscheduled.

If you set a job to On Hold, Invoiced, Closed or Canceled yourself, it stays there no matter what its visits do. See Job statuses and closing out a job.
