Jobs, visits and projects

How Homeforce organizes work - a job holds one or more visits, and a project is a job with phases, a budget and change orders.

Everything your crew does for a customer lives on a job. Knowing how jobs, visits and projects fit together makes the rest of Homeforce click.

A job is the work

A job is one piece of work for one customer at one address, like "AC not cooling upstairs" or "Exterior repaint". It has a number (Job #1042), a job type, a priority and a status. Estimates, invoices, notes, photos and costs all hang off the job.

A visit is a trip

A visit is one trip to the job: a date, a time, and who's going. A job can have as many visits as it needs:

  • A repair with a parts run: a diagnosis visit, then a return visit.
  • A two-day install: one visit per day.
  • A job nobody has scheduled yet: one visit with no time, waiting in Unscheduled on the dispatch board.

Visits are what show up on the dispatch board, the Schedule page and your techs' phones. Each has its own status (Scheduled, En Route, On Site, Completed), and the job's status follows from them. See Visit statuses.

A project is a bigger job

A project is a job with extra tools for work that runs over days or weeks:

  • Phases with start and end dates, shown on a Gantt chart
  • A contract amount and cost budget, with budget vs actual
  • Change orders the customer signs
  • Daily logs, a punch list and a photo timeline
  • Progress billing by percent complete

A project still has visits. You can tie each visit to a phase.

Service job Project
Typical length Hours, one or a few visits Days to weeks
Scheduled as Visits on the dispatch board, or crew days Visits and crew days, grouped into phases
Billed Invoice when done, or a deposit first Deposits and progress invoices
Extra tabs — Phases, plus project costs on Costs

Which one you get

When you create a job, pick Service call or Project. Picking a job type picks for you: types set up as Project with phases in Settings → Job types & modes create projects; service calls and multi-day crew jobs create service jobs.

Turn a job into a project

Sometimes a service call turns into something bigger. On the job, click Convert to project, enter the Contract amount, Cost budget and Target completion, and click Convert. Every visit, estimate, invoice, note and photo stays. Existing visits are grouped into a first phase called "Diagnosis & Service" (or "Phase 1" if there were no visits). There's no way to turn a project back into a service job.
