Subcontractors on projects

Keep your subs' insurance and W-9 on file, enter their bills against a project, and approve and pay them so the cost lands in job costing.

If you bring in outside companies for part of a project, like an electrician on a remodel, Homeforce tracks their paperwork and bills, and posts their cost to the project.

Add a subcontractor

Owners and admins add subs in Settings → Subcontractors: Company, Contact, Trade, Email, Phone, Insurance expires, and the W-9 on file switch.

Check compliance

Crews & Techs in the sidebar opens the Crews & subcontractors page. Under Subcontractors, each sub shows:

  • Insurance: Valid to the expiry date, Expires in red when it's within 30 days or past, or Missing COI if no date is on file.
  • W-9: On file or Needed.

Enter a sub bill

  1. Open the project and go to the Costs tab.
  2. Under Subcontractor bills, click + Sub bill.
  3. Pick the Subcontractor and enter their Bill #.
  4. Enter the Amount and a Description.
  5. Pick the Phase the work was for.
  6. Enter a Retainage % if you're holding some back.
  7. Click Submit for approval.

The bill shows as Submitted.

Approve and pay

  1. Click Approve on the bill, either on the project's Costs tab or under Sub bills on the Crews & subcontractors page.
  2. Approving adds the full bill amount as a subcontractor cost on the project and its phase, so it shows in budget vs actual and margin.
  3. Once a bill is approved, click Pay on the Crews & subcontractors page to mark it paid.

The Retainage column shows how much of each bill you're holding back.

Giving subs access to the app

If you want a sub's crew to see their visits and track time, invite them with the Subcontractor role. They only see jobs they're assigned to, and never see customer lists, prices or money. See Users and permissions.
