Export your data from GorillaDesk

Where to export customers, jobs, estimates, invoices, payments and line items from GorillaDesk so you can bring them into Homeforce.

Moving from GorillaDesk? You can export your customer list from the Customers tab, and almost everything else from GorillaDesk's reports, which download as CSV or Excel files. This guide shows where each one lives.

Your export checklist

Data Where in GorillaDesk File

Jobs, job history and recurring schedules Reports → Service Lookup CSV or Excel
Estimates Reports → Estimates CSV or Excel
Invoices Reports → Invoices CSV or Excel
Recurring invoices Reports → Recurring Invoices CSV or Excel

Line items and service templates Settings → Line Items / Service Templates → CSV or Excel CSV or Excel

GorillaDesk's report article says every report has export options in its upper-right corner. Your screens may differ; check GorillaDesk's "Available Reports" article.

Customers

You need the Export Customer List permission. Admins can turn it on for a user; without it, the export button is hidden.

  1. Go to the Customers tab.
  2. Clear any filters so every customer shows.
  3. Click Action, then Export.

GorillaDesk's article on this is several years old. If your screen looks different, check GorillaDesk's "Exporting Your Customer Data" article.

Each customer can have several service locations, found on the customer's Locations tab. GorillaDesk doesn't document a separate locations export, so check that your customer file includes every location. If it doesn't, ask GorillaDesk support for one.

Reports (jobs, estimates, invoices, payments)

Run each report on the checklist the same way.

  1. Go to Reports and open the report.
  2. Set the date range back to your first year in GorillaDesk.
  3. Clear filters so every status is included.
  4. On Service Lookup, open the Columns filter and check every column.
  5. Click the CSV or Excel option in the upper-right corner.

Service Lookup is the key one. Its columns include Job Frequency, Invoice Frequency, Sold By and billing city, state and zip, so it carries your recurring schedules too. Its Work Pool tab lists jobs parked off the calendar; export that tab as well.

For payments, export both Payments and Payments Collected. Payments Collected can be filtered by client, staff and payment method.

Line items and service templates

  1. Go to Settings and open the Line Items tab.
  2. Click CSV or Excel in the upper-right corner of the list.
  3. Repeat on the Service Templates tab.

Notes

GorillaDesk keeps customer notes, job notes, estimate notes and invoice notes, but doesn't document a way to export them. Ask GorillaDesk support for a notes export before you cancel.

What won't come across

Saved cards and bank accounts stay with the payment processor you used through GorillaDesk (such as Square or Stripe, which have their own subscription reports) and can't be moved. Customers will need to enter a card again.

When your files are ready, upload them to Homeforce. See How migration works.
