Export your data from QuickBooks

Where to find your customers, products and services, estimates, invoices and payments in QuickBooks Online and QuickBooks Desktop before you move to Homeforce.

If you ran your business out of QuickBooks, your customers, item list, estimates, invoices and payments can all come to Homeforce. QuickBooks Online and QuickBooks Desktop export differently, so follow the part that matches yours.

QuickBooks has no jobs, visits, memberships or equipment. If you tracked jobs as projects or sub-customers, they come across with your customer list.

QuickBooks Online

Export everything at once

Do this first. It gives you your main reports and lists in one download.

  1. Click Settings, then Export data under TOOLS.
  2. Pick a reason and click Continue.
  3. On the Reports tab, set the date range to cover all your history.
  4. Leave every switch on, on both the Reports and Lists tabs.
  5. Click Export to Excel.

You get a .zip of Excel files. It covers transactions that affect your books, like invoices, but not estimates or attachments, so do the steps below too.

Customers

  1. Go to Reports, then Standard reports.
  2. Open Customer Contact List.
  3. Click Customize, then Rows and Columns, then Change columns, and turn on every column, including billing and shipping addresses and notes if you see them.
  4. Click Run report.
  5. Open Export/Print and pick Export to Excel.

Products and services

  1. Go to All apps → Sales & Get Paid → Products & services.
  2. Click the Export to Excel icon.

One Intuit article says to click More, then Run reports, then Export/Print → Export to Excel instead. Your screens may differ; check Intuit's Export your QuickBooks Online data article.

Estimates, invoices and payments

  1. Go to All apps → Sales & Get Paid → Sales transactions.
  2. Set Type to Estimates.
  3. Widen the Date range to cover all your history. It shows only the last 365 days unless you change it.
  4. Click Export to Excel.
  5. Repeat with the type set to Invoices, then Payments.

Intuit documents these steps for estimates. Invoices and payments are on the same page, but the filter names may vary; check Intuit's View sales transactions article.

Recurring invoices and attachments

  • Recurring Template List: go to Reports → Standard reports, open Recurring Template List, and pick Export to Excel. These are often your maintenance customers.
  • Attachments: go to Settings, then Attachments under LISTS. Select the files, open Batch actions, and pick Export. They download as a .zip.

QuickBooks Desktop

Desktop doesn't have one "export everything" button. Each export below can save as Excel, or as a CSV if you pick Create a comma separated values (.csv) file in the Export window.

Customers

  1. Open the Customer Center.
  2. Click the Excel dropdown, then the option to export your customer list.
  3. Choose new worksheet or CSV, then click Export.

Intuit's articles name this option Export Customer/Vendor/Employee list or Export Customer/Vendor list, depending on the article. Your screens may differ; check Intuit's Import or export MS Excel files article. Jobs you set up under a customer come out with the list.

Estimates, invoices and payments

  1. In the Customer Center, click Excel, then Export Transactions.
  2. Choose to export by transaction type, and pick estimates, invoices and payments.
  3. Set the dates to cover all your history.
  4. Click Export.

Items (your price list)

  1. Go to Lists, then Item List.
  2. Click Excel, then Export all Items.
  3. Click Export.

You can also export any report, like Customer Contact List, from the report's Excel button, then Create New Worksheet.

Then upload the files to Homeforce. See How migration works.

What won't come across

  • Card and bank details saved with QuickBooks Payments
  • Saved payment methods and autopay setups
  • Bank feeds, payroll, bills and your chart of accounts (keep these in QuickBooks)
  • Invoice and estimate templates and their branding
