Export your data from spreadsheets or other tools

Organize customers, jobs, invoices and prices from Excel, Google Sheets or any tool into CSV files that Homeforce can link together.

Running your business from Excel, Google Sheets, or a tool that can save CSV files? This guide shows how to lay out what you have so customers, jobs, invoices and prices link up when you bring them into Homeforce.

Your export checklist

Data Where File
Customers and contacts One sheet or tab named Customers CSV
Properties (service addresses) Same Customers sheet, or a Properties sheet if customers have several CSV
Jobs and visit history Jobs sheet CSV
Quotes and estimates Estimates sheet CSV
Invoices Invoices sheet CSV
Payments Payments sheet, or Paid columns on the Invoices sheet CSV
Price list Price list sheet CSV
Recurring service and equipment Their own sheets, if you track them CSV
Anything from another tool That tool's own export or report download CSV, Excel or PDF

If you used another app, look in its settings or reports for an Export or Download option and save every list it offers. Upload the files as they come out; you don't need to clean them up first.

Set up one sheet per type

  1. Put each kind of record on its own sheet: Customers, Jobs, Invoices, Price list, and so on.
  2. Make row 1 a header row, one column name per cell, like Customer name or Invoice date.
  3. Put one record per row below it. No blank rows, totals rows or merged cells.
  4. Keep each value in its own column. Split a full address into street, city, state and zip if you can.

Columns that help records match

Include whichever of these you have:

  • Customers: customer ID, customer name, company, email, phone, street, city, state, zip, notes.
  • Jobs: job number, customer ID or name, service address, job date, status, description, total.
  • Estimates: estimate number, customer ID or name, date, status, line items, total.
  • Invoices: invoice number, job number, customer ID or name, invoice date, due date, total, amount paid, balance.
  • Payments: invoice number, payment date, amount, method.
  • Price list: item name, description, price, cost, unit.

Dates in one format throughout, like 2026-03-15, help too.

Keep IDs consistent across sheets

The links between sheets come from shared values. If a customer is C-104 on the Customers sheet, use C-104 on that customer's jobs and invoices too. If you don't have IDs, spell names exactly the same way on every sheet, and include email or phone so customers with similar names don't get mixed up. Put the job number on each invoice so the two connect.

Save as CSV from Excel

A CSV holds one sheet, so save each sheet separately.

  1. Click the sheet you want to save.
  2. Select File, then Save As or Save a Copy.
  3. Choose a folder and name the file after the sheet, like customers.csv.
  4. In the file type list, choose CSV (comma delimited).
  5. Save, then repeat for each sheet.

Excel warns that CSV keeps only the active sheet and drops formatting. That's expected.

Save as CSV from Google Sheets

  1. Open the tab you want to save.
  2. Select File, then Download.
  3. Choose the comma-separated values (.csv) option. It saves only the tab you're on.
  4. Repeat for each tab.

Your screens may differ; check Google's help article.

What won't come across

Card numbers and saved payment methods can't move from a spreadsheet or another tool. If you took card payments through a processor, those cards stay with that processor, and customers will need to enter a card again. Don't type card numbers into any sheet you upload.

When your files are ready, upload them to Homeforce. See How migration works.
