Export your data from Workiz

Which Workiz reports and downloads get your clients, jobs, estimates, invoices and payments out, and what to ask Workiz support for.

Moving from Workiz? Most of your data comes out of Workiz through its reports, which you can download as CSV files. Workiz doesn't publish a one-click export of every list, so for a few kinds of data you'll ask Workiz support. This guide covers both.

Your export checklist

Jobs report

Workiz's Jobs report is the richest export. It can show Job ID, client name, client phone, client email, job status, created, scheduled and end dates, job total and job source.

  1. Open Reports and choose the Jobs report.
  2. Change the time range. It starts on the current week, so pick the widest range Workiz allows, or export one year at a time.
  3. Turn on every column you can, especially Job ID and the client columns.
  4. Export the report as CSV.

The Leads report works the same way. Workiz notes that most of its reports can be exported to CSV.

Payments report

The Payments report lists cash and card payments you've logged or processed in Workiz.

  1. Open Reports and choose the Payments report.
  2. Change the time range. It starts on the current month, so widen it.
  3. Export it if your screen offers it. Workiz's article on this report doesn't mention an export button. If you don't see one, build a custom report with payment fields (below) or ask support.

Items and Services report

This report lists items used on jobs and invoices. Items used only on estimates, or never used at all, won't appear. For your full price book, ask Workiz support.

Custom reports

Custom reports let you pick job, client and finance fields and export them. They need the Custom Reports add-on.

  1. Open the Feature Center from the top bar and select Custom Reports. On older accounts it's under Add-ons.
  2. Select Add report and choose the report type, such as jobs.
  3. Add every field you can and set the time range as wide as it goes.
  4. Click Save.
  5. Open the saved report and select Actions → Export as → CSV.

Estimates and invoices

Workiz documents downloading these one at a time: open the estimate or invoice, then select Actions → Download. For a full list of every estimate and invoice, use a custom report if your account has one, or ask Workiz support.

Ask Workiz support for the rest

Workiz's help center doesn't describe a self-serve export for your full client list (with service and billing addresses), all invoices, all estimates, your price book, service plans, or client notes and files. Contact Workiz support and ask for a complete export of each one as CSV or Excel files. Ask them to include client IDs and job and invoice numbers so records link up.

What won't come across

If you keep cards on file in Workiz, for example for service plan billing, those saved cards and payment methods stay with Workiz's payment processor and can't be moved. Customers will need to enter a card again.

When your files are ready, upload them to Homeforce. See How migration works.
