Export your data from Housecall Pro

Where to find every Housecall Pro export (customers, jobs, invoices, estimates, payments, price book and equipment) before you move to Homeforce.

Before you switch, pull a copy of everything out of Housecall Pro. Most exports start from the blue Actions button on a list page, and Housecall Pro emails you the file.

Customers

Only admins can export customers and jobs.

  1. Click Customers in the left menu.
  2. Clear any filters so every customer is included.
  3. Click Actions, then Export.
  4. Confirm your email and click Send file.
  5. Look for an email from notifications@housecallpro.com.

Housecall Pro doesn't list which columns are in this file. One of its articles calls it a CSV and another calls it an Excel file. Send us whichever you get.

Jobs and invoices

In Housecall Pro, invoices live on jobs, so this one export covers both.

  1. Click Jobs in the left menu.
  2. Click Edit columns and turn on every column, then click Done.
  3. Clear any filters so all your history is included.
  4. Click Actions, then Export.
  5. Click Send File and wait for the email.

Housecall Pro's breakdown of its exported job report lists job address, line items, totals, tax, payment history, job tags, employee, status and the job's private notes.

Estimates

  1. Click Estimates in the left menu.
  2. Click Edit columns, turn on every column, then click Done.
  3. Clear any filters.
  4. Click Actions, then Export, then Send file.

Payments

  1. Go to Reporting → Reports.
  2. Select Payments.
  3. Set the date range to cover all your history. It filters by payment date.
  4. Click Generate report.

You get two files by email, which can take up to an hour: a summary and a Payment Details File with one row per payment, including job, invoice number, customer, amount, type and card fees.

Price book

You need to be an admin, or office staff with permission to update company account info.

  1. Click the gear icon in the lower left to open Settings.
  2. Select Price Book.
  3. On the Services tab, click Export.
  4. Switch to the Materials tab and click Export again.

Each is emailed to you as a CSV.

Equipment

  1. Go to My Apps → Property Profile.
  2. Click the download icon in the top right.
  3. Confirm your email and click Send me the File.

Service plans

Housecall Pro has service plan reports under Reporting → Reports → Service plans, but its help article doesn't mention an export. Your screens may differ; check Housecall Pro's Service Plan Reporting article, or ask support for a list of your plans and members through the blue chat bubble.

Then upload the files to Homeforce. See How migration works.

What won't come across

  • Card and bank details held by Housecall Pro's payment processing
  • Saved payment methods on customers
  • Call recordings. You can export the call log (up to 5,000 calls from Inbox → Calls → Call log → Export), but recordings download one call at a time.
  • Photo and attachment files. The job export has an attachments column, but we couldn't confirm it includes the files themselves.
  • Customer notes, unless they show up in your customer file
