QuickBooks Online

The status of the QuickBooks Online integration, what it will sync and which way, and how mappings and sync rules work.

The QuickBooks Online integration posts your invoices, payments, customers and job costs to your books, so your bookkeeper doesn't re-type them.

The rest of this article explains how the connection will work, so you can plan your setup.

What will sync, and which way

These are the starting sync rules. You can change each one.

Record Direction When
Customers Two-way As it happens
Invoices Homeforce → QuickBooks (invoices over $0) As it happens
Payments Two-way As it happens
Items Homeforce → QuickBooks Only when you click sync
Cost journals (labor, burden, commissions) Homeforce → QuickBooks Weekly
Sub bills Homeforce → QuickBooks Only when you click sync

When the same record changes in both places, the newest change wins unless you pick another option.

Mappings

The Mappings tab is where you tell Homeforce where things go in QuickBooks:

  • Income accounts by pricebook category, by business unit, or by line type, with a Default (anything else). You choose which wins when more than one applies.
  • Payment methods → deposit account. Card and ACH payments usually go to a clearing account until the payout; cash and checks to Undeposited Funds.
  • Tax codes for taxable and non-taxable lines.
  • Class & location tracking: classes by job type or business unit, and QuickBooks locations by business unit.
  • Customers & items: match customers by email then name, or always create new; post lines against one item, or one item per income account.
  • Job costs → expense / COGS accounts for labor, labor burden, materials and other cost types.

Click Auto-match to fill empty slots by name, then review and save.

Job costing settings

Settings → Accounting / QuickBooks has a Job costing section you can use today, with or without QuickBooks:

  • Job costing only: nothing is posted. Costs drive job profit inside Homeforce.
  • Payroll pays, Homeforce allocates: journal entries move labor, burden and commissions into cost of goods sold by job. Wages are never recorded twice.
  • Send to payroll: hours and commissions go to a payroll provider.

You can also set Labor burden %, when Commissions earned (on sale, on job complete, or on invoice paid in full), and whether to claw back commissions on refunds.

Business units

If you run more than one business unit with separate books, you'll be able to make one connection per company file and choose its Business unit on the Account step.
