Invoicing and payment workflows by trade
How service, project and route businesses typically bill and get paid in Homeforce.
Every trade gets paid a little differently. Here's how common setups map to Homeforce features.
HVAC & plumbing
Service calls are billed on the spot.
- The tech builds the invoice from the pricebook when the work is done (Invoice on the visit in the tech app), and collects with Collect payment: a Card reader, a typed-in Card, or Card on file for members.
- Members get member prices automatically, and their membership bills charge the card on file. See How membership billing works.
- For system replacements, sell from an estimate with a Deposit %, collect the deposit at signing, and use Create invoice on the approved estimate for the final bill with the deposit credited. Prequalify for financing on big tickets. See Offer customer financing.
Electrical
Small service work follows the HVAC pattern: invoice and collect on site. For panel upgrades and rewires that need permits and inspections, take a deposit on the estimate and bill the balance when the job passes inspection. Use PO number on the invoice for builders and property managers who require one.
Painting
Exterior and interior repaints usually take a deposit at signing (set a Default deposit % in Settings → Estimates & proposals) and the balance on completion. Larger multi-week jobs can run as projects: set phases like "Prep" and "First coat," move each phase's progress slider, and Bill progress as you go. See Bill a project in progress.
Roofing
Roof replacements typically collect a deposit for materials on approval, then the balance after completion. Insurance jobs often need the invoice printed or emailed for the adjuster: use Print on the invoice. Bank (ACH) payments carry lower fees on large balances, and customers can pay by bank from the pay link.
Remodeling & restoration
These are project jobs: a contract amount, phases with budgets, and change orders the customer signs. Bill progress invoices each draw by percent complete, adds approved change orders to the contract, credits the deposit, and holds retainage when the project carries it. Watch Retainage held on the Invoices page.
Landscaping, lawn, pool & pest (recurring routes)
Recurring customers are billed through memberships, so you don't create an invoice for every visit. Each billing period is charged to the card on file, or invoiced with a pay link if there's no card. Add-on work (an extra treatment, a repair) gets its own invoice. Save a card for every route customer so billing runs without anyone touching it.
Cleaning
Recurring cleans bill through memberships the same way. One-time deep cleans and move-outs are invoiced on completion; text the pay link so the customer can pay from their phone. Use Collections each week to catch anyone who hasn't paid.
