After an estimate is sold

What happens when a customer approves, how deposits work, and how to schedule and invoice the sold work.

When a customer approves an option, whether in present mode or from the link you sent, the estimate is sold. Here's what changes and what to do next.

What happens automatically

  • The estimate is marked Approved and locked. The header shows Sold: with the option name and total.
  • The customer's signature, the name they typed, and the time are saved.
  • Follow-up texts and emails stop, and the estimate moves to Won on the Sales pipeline.
  • If the estimate has a Deposit %, Homeforce creates a deposit invoice for that amount and gives the customer a Pay … deposit button. See Collect a deposit.
  • If the estimate was started from a job, the job is credited to the estimate's salesperson. The estimates list then shows Open job for it.

Schedule the work

Approving an estimate doesn't create a job by itself. To get the work on the calendar:

  1. If the estimate was started from a job, open that job and schedule its visits.
  2. Otherwise, open the customer and click New job, or book an appointment for the install.

For bigger, multi-week work, set it up as a project. See Jobs vs. projects.

Invoice the sold option

  1. Open the approved estimate.
  2. Click Create invoice.

The invoice copies the line items, discount and tax rate from the option the customer chose. Paid deposits are credited against it, so the customer isn't charged twice. Each estimate can have one final invoice. If one already exists, Homeforce tells you its number.

Owners, admins, sales reps, project managers, accounting and techs can create invoices. Office/CSR staff can't. See Create and send an invoice.

Need to change a sold estimate?

Approved estimates can't be edited. For extra work, create a new estimate or, on a project, a change order.
